In this video, I will demonstrate the integration between Sage Intact and Asset Accountant.
0:06
I've opened Asset Accountant up in a register that is connected to Sage Intact.
0:10
You will see a new menu item on the left-hand side has been added called Draft Assets,
0:15
which will pick up information from Sage Intact when I add the draft asset.
0:21
In Intact, what you can do is purchase the asset via your regular process,
0:26
so either through Accounts Payable or sometimes through a journal.
0:30
In the demonstration, I'm going to create a journal,
0:32
but it doesn't matter whether this hits the general ledger through Accounts Payable or through a journal.
0:39
So I'm going to choose a new laptop PIX1 for Jim,
0:45
and I post into the clearing account that we've set up within Sage for this purpose.
0:50
So let's say that's $2500, and then I'm going to post into Accounts Payable.
0:55
The balancing side, as long as I've added all of the mandatory fields in there and post that to Sage,
1:01
that entry is now created within Sage Intact.
1:04
Then I go back to Asset Accountant, and I select Draft Assets,
1:08
and that will now show me the new laptop for Jim has been brought through from Sage.
1:13
I can click Add Asset to there.
1:15
That will pick up the information that's been entered in Sage, such as the cost and the purchase date,
1:20
and all I need to do is select the asset group that that asset belongs to, in this case computer equipment.
1:26
There are some optional fields here, which are the classifications in Asset Accountant.
1:30
These are the items that synchronise with the dimensions in Sage.
1:33
So let's just say Jim has started in Marketing, and he's going to be on site number one.
1:39
I can amend the tax and the accounts depreciation rates.
1:42
These are set as the standard for computer equipment, and similar to adding an asset manually,
1:47
I can also use the ATO or the IRD lookup tool if I wanted to confirm the correct tax treatment.
1:53
In this case, let's say I'm happy with that. I can save that asset.
1:56
That will now appear on the balance sheet.
1:59
So when I go back to the Assets tab, you will see the new laptop for Jim has been added to that fixed asset register.
2:07
The next step will be to create the journal.
2:09
So I can go and create a new journal. So let's create that journal for the month of May.
2:14
And you can see here that that has now added the cost of that computer.
2:19
So the two and a half thousand dollars to the computer equipment at cost account and has credited the clearing account.
2:26
So that has now been zeroed out within the clearing account.
2:30
If I'm happy that that is the correct journal, I can post it to Sage intact using this button on the top right.
2:35
So I choose which items I would like to post.
2:38
So in this case, I'm going to post the purchases and the depreciation.
2:41
Post those to Sage intact and you'll see that's now successfully created the journal within Sage.
2:46
So I can just go and have a look at the account in there just to see that journal has been posted.
2:52
So I look at fifteen thousand and you will see here that there has been the journal posted for the two and a half thousand dollars to clear out.
3:01
So I can click on that and you can see there the journal that was created in Asset Accountant has now been posted within Sage.
3:09
Finally, I can show you how to synchronize the dimensions within Asset Accountant with those that you have within Sage.
3:15
If I click on register settings, you can see classifications and there's an option here to synchronize with the dimensions in Sage intact.
3:22
So if I click that button, it will interrogate Sage intact and it will show me which dimensions exist in Sage or any new ones that have been added.
3:30
And then we'll map these to the classifications that have been set up in Sage in Asset Accountant.
3:35
You may not want all of these, obviously, within Asset Accountant.
3:38
So you select the dimensions that you would like to create classifications for.
3:42
If the one doesn't exist, you can create new and that will just create that as you walk through the steps.
3:47
Once I've selected the dimensions, it will then walk you through to give me the options.
3:50
So you will be able to choose all of the same options within Sage intact as you have within Asset Accountant.
3:57
And that will then create the classifications and the options within Asset Accountant for you to use and post the journals back with that information included.
