In this video, we're going to have a look at issues that you might encounter when posting
0:06
journal transactions from Asset Accountant to Sage Intact, particularly where you're
0:11
using dimensions in Sage Intact and where those dimensions are required in Sage Intact.
0:17
So in this very simple example, we've got a single asset group called Computer Equipment
0:23
with a single asset within it, and we have yet to create any journals.
0:28
So this asset was created in January 2024.
0:31
We can see that there are some additions associated with that asset and some depreciation, and
0:35
we want to post that across to Sage Intact.
0:38
So if we quickly go to our journals area, this is one area that you might see when you're
0:44
posting your first journal, and we're being warned that we haven't set up all of our general
0:48
ledger accounts for all of our asset groups.
0:50
To resolve this, we can either go to Manage All Asset Groups, or we can simply click on
0:54
the group of interest, which we'll do here.
0:58
And if we scroll down to our general ledger accounts mapping area, we can see that in
1:02
our depreciation setup, we haven't assigned a depreciation expense account.
1:07
So we're quickly going to make a correction there.
1:10
We'll find our depreciation expense.
1:14
We'll save those changes, return to our journals area, and we can see that we no longer have
1:20
that warning.
1:21
So that's the first thing that you really need to do is to make sure that you've got
1:24
all of your general ledger accounts fully configured.
1:27
Next we'll go ahead and create a journal, and we can see that in this example, we've
1:35
got some depreciation expense, some accumulated depreciation, some cost and clearing to go
1:40
across to Sage Intact, and we've got our location dimension defined.
1:45
And when we go to post to Sage Intact, we're presented with an error.
1:52
Now this is an error that comes from Sage Intact.
1:55
It's not an asset accountant error.
1:57
And what we're being told here is that on line number one, the transaction is missing
2:02
the department dimension.
2:05
So if we quickly come across to Sage Intact, we can see that when we're looking at this
2:11
same account number 60630 for depreciation expense, we've required the department and
2:18
location dimensions.
2:20
If we have a look at Sage's hints here, we can see that when you require a dimension
2:24
for your GL account, all transactions that post to that account must include the dimensions
2:30
that you select here.
2:31
So since we've chosen both department and location, and we've posted location but not
2:36
department, we're getting the error that you see in asset accountant.
2:41
So the best way to diagnose these sorts of issues is to go to the line item of interest,
2:46
click on show details, find the assets that come up under that entry.
2:53
And if we have a look at our problematic asset, we can see that when the asset was created
2:57
in January, it was assigned to a group, it had a location assigned to Denver, but there
3:03
was no department classification associated with this asset.
3:07
To address this, we can go to our details area.
3:09
And here we can see our classifications.
3:12
We can simply add a new one.
3:14
We can set the effective date for that department classification assignment.
3:19
We always recommend that you do this from the inception of the asset.
3:23
But just to show you something else that can go wrong, let's imagine that we don't make
3:27
that assignment for a couple of months.
3:30
We'll assign it to the department of admin, save the asset, return to our journals.
3:38
We'll delete the journal that we've already created.
3:41
We'll create a new one.
3:47
And now we can see that we've got our department assigned to admin for depreciation expense,
3:54
accumulated depreciation and cost, but not for clearing and for depreciation expense
3:59
for some of those transactions.
4:01
So if we have a look again against the depreciation expense, we can see that from January to February,
4:07
this asset did not have a department assigned to it.
4:11
If we have a look at this line item, we can see that from March until May, it did have
4:16
a department assigned to it.
4:18
And if we go ahead and try and post that journal, again, we see that there's a failure.
4:27
So again, on line item number one, the transaction's missing the department dimension.
4:32
So even though we only have one asset and we're posting across depreciation only for
4:36
that asset, because it didn't always belong to a department, we're running into issues.
4:42
So again, we can just return to that asset.
4:47
And in this case, what we want to do is correct that department assignment.
4:50
And the best way to do that is to reverse the assignment that we made, go back to our
5:00
details area, add that department classification from the 1st of January, which is the earliest
5:08
effective date we can choose, and is also the start date for the journal that we're posting.
5:15
We'll delete that journal, recreate it.
5:23
And now we can see that our department and location are assigned for all of our journal entries.
5:30
We click on Post to Sage Intact, and we find that we can post successfully.
5:38
So again, this is all about making sure that if you require dimensions over in Sage Intact,
5:45
that all of the transactions in your journals from Asset Accountant have those dimensions
5:50
assigned.
5:51
And that'll really come down to timing.
5:53
So you really want to make sure that from creation of assets or import of assets from
5:58
either Sage Intact or using one of our import tools, that you always have those required
6:03
dimensions assigned from inception.
6:06
Similarly, when you go to manually create an asset, it's important to ensure that location
6:16
and department classifications, which are our required dimensions in this case, are
6:21
assigned at the point of creation.
